POSITION TITLE:  Intake Coordinator/Administrative Assistant

STATUS: Full Time Maternity Leave Contract 12 months (with possible extension)

REPORTS TO:  Business Manager                HRS/WEEK: 35

POSTING DATE:  February 1st 2024    CLOSING DATE: February 14th 2024

SALARY RATE: $29.16 – $35.55/hour

Breakaway Community Services is a multifunction treatment agency that provides a range of outpatient, day treatment and outreach programs. POSITION SUMMARY:

This position will provide administrative and intake support to agency programs. This position will provide initial telephone and e-mail response and information to callers and will complete initial intake/assessment of eligibility. In addition, this position is responsible for statistical data collection and report preparation on the operations of all programs.  This position will also provide administrative support to the Business Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Be familiar with and provide callers information on Breakaway programs, services and on resources available in the community.
  • Completion of intake screening, referral forms and other documentation
  • Respond to incoming telephone calls and phone and e-mail messages
  • Participate in supervision, clinical consultations, and team meetings as needed
  • Complete and maintain statistical data collection in Catalyst (client data system)
  • Participate in creating and submitting reports on statistical data
  • Monitoring and keeping files up-to-date
  • Assist with general administration duties as requested by the Business Manager
  • Provide oversight of some building maintenance and liaise with external contractors
  • Participate on Joint Health and Safety Committee in an administrative capacity
  • Other duties as assigned

 

QUALIFICATIONS:

  • Minimum of two years of experience working in a similar position within a health or social service setting
  • A working understanding of the principles of harm reduction and trauma informed care
  • Excellent client-service skills and ability to work with a variety of client presenting situations, personalities, and levels of ability
  • Experience working with people with substance use and mental health issues and/or street involved people is considered an asset
  • Experience working within a multidisciplinary team is considered an asset
  • Strong writing and communication skills
  • Recently demonstrated knowledge and skills of office technology and software programs including Microsoft Office and Excel
  • Familiarity with social services and community resources is considered an asset
  • Self-directed, organized, and demonstrated supportive team member abilities
  • Certificate in Crisis Prevention and Intervention or willing to be trained
  • Current First Aid/CPR certificate preferred
